Module 5: Overview

  • Ensure a smooth start on site by tracking the client's arrival, anticipating potential delays, and preparing for their needs, such as late-night food delivery.
  • Know when your staff members are arriving and communicate their first tasks and expectations clearly to avoid confusion.
  • Be the first point of contact with the hotel to prevent any interference with client interactions, and organize greeters for vendors, sponsors, exhibitors, photographers, and other visitors to maintain a well-organized schedule.
  • Keep track of when board members, speakers, VIPs, and other important individuals are arriving on site, ensuring they receive proper attention and seating arrangements.
  • Establish regular Caspian team meetings during the week, clearly defining responsibilities in the morning and night to maintain effective communication and coordination throughout the event
